Privacy policy

This notice explains how MIL-MGMT PR handles personal information when you contact us, buy a campaign or mastering service, submit release materials, or work with us on music promotion.
1. Who is responsible
MIL-MGMT PR is the trading name of Matthew Sargeant, a sole trader and the controller responsible for the personal information described here. Our address is Connect House, 1 Henry Street, Northern Quarter, Manchester, M4 5DA, United Kingdom. Please send privacy enquiries by email to [email protected], marked “Privacy”.
2. Information we handle
- Enquiries and correspondence: your name, email address, messages and information you choose to send us.
- Orders and billing: contact and billing details, artist or company name, chosen services, discount codes, payment status, transaction references, refunds, invoices and relevant correspondence.
- Campaign materials: artist and release details, biographies, photographs, artwork, music or file links, credits, schedules, contact information, permissions, pitches, recipient feedback and coverage reports. Some release material may identify collaborators or other people.
- Professional contacts: names, work contact details, publication or organisation, role, music interests, publicly available professional information and relevant communications with DJs, journalists, radio teams, curators and other promotional recipients.
- Technical and security information: IP addresses, browser or device information, request logs, errors and activity needed to operate and protect the website, checkout and Staff App.
We receive information directly from you, from the artist, label or representative arranging a campaign, from payment and form providers, and from relevant public professional sources and coverage links. Please do not send sensitive personal information that is unnecessary for the service.
PayPal and the selected card or wallet provider handle payment credentials. Our order system records payment references and results; it does not store your full card number, security code or wallet credentials.
3. Why we use it and our lawful bases

Where we rely on legitimate interests, we consider whether the use is necessary and balanced against your rights. You can ask for details of the interests and safeguards relevant to your information.
We need basic contact, order and payment-confirmation information to fulfil a purchase. If you do not provide it, we may be unable to accept or deliver the order. Optional fields are identified on the relevant form.
4. Who receives information
Our authorised staff and contractors use information needed for their work. We use service providers for hosting, storage, security, email delivery and business administration. The website uses Formspree to receive contact-form submissions and PayPal to process payments; the MGMT Staff App manages campaign submissions and fulfilment. Amazon Web Services provides our server hosting, Cloudflare provides website delivery and security, and SMTP2GO delivers order confirmation emails.
For a PR campaign, we share relevant promotional material with selected DJs, press, radio teams, curators and other recipients, including recipients overseas, in line with the agreed campaign and any embargo. We do not include your private billing address or payment information in a press pitch.
Independent publishers, platforms, payment providers and wallet providers may be responsible for their own processing. Their notices apply to that processing: see PayPal’s privacy statement and Formspree’s privacy policy. A link to a publication or service takes you to a separate website.
We may disclose relevant records to professional advisers, accountants, insurers, regulators, courts or law-enforcement bodies where necessary and lawful. We do not sell personal information.
5. International handling
Electronic music campaigns reach recipients around the world. Some providers, including Formspree, process information outside the United Kingdom. Where we arrange a restricted transfer, an appropriate lawful transfer mechanism must be in place, such as recognised adequacy arrangements or approved contractual safeguards with any necessary assessment. You can contact us for information about the countries and safeguards relevant to your data.
6. How long we keep it
We retain information according to its purpose, legal requirements and any active complaint or dispute. As a sole trader, we normally keep order, payment, invoice and accounting records for at least five years after the 31 January Self Assessment submission deadline for the relevant tax year, and longer where a legal obligation or unresolved matter requires it.
Enquiries are retained for handling the request and reasonable follow-up. Campaign materials, correspondence and reports are retained for delivery, agreed follow-up, customer support and any necessary evidence of the work. We review whether retained material is still needed and delete or anonymise it when there is no longer a justified purpose. An archive is not a promise to retain or restore your only copy of a recording.
Professional contact information is reviewed for relevance and accuracy. We may retain limited suppression details after an objection or unsubscribe request so that we can respect that request. Backup copies may remain until the relevant backup cycle expires and are restricted from ordinary use.
7. Browser storage, payment tools and embedded media
The cart uses your browser’s local storage to remember product options, quantities and discount codes. Checkout and the campaign handoff use session storage for a payment reference and secure submission access. Clearing browser storage may remove a saved cart or an unfinished handoff; it does not delete an order record we need to retain.
Payment tools load when you continue to payment and may use cookies or similar technologies for payment processing, security and fraud prevention. Embedded music, video and other third-party content may also communicate with its provider and use its own technologies.
Any non-essential tracking must be controlled through the consent choices provided before it operates, where required by law. You can also control storage in your browser. Blocking essential storage or payment tools may prevent checkout from working.
8. Your choices and rights
Depending on the circumstances, you can ask for access to and a copy of your personal information, correction, erasure, restriction of processing or transfer of information you provided in a portable format. These rights have legal conditions and exceptions; for example, we may need to keep a transaction record to meet an accounting obligation.
You can object to use of your information for direct marketing at any time. You can also object, on grounds relating to your situation, to processing based on legitimate interests. Use an unsubscribe link where provided or email us. Withdrawing consent does not affect processing that was lawful before withdrawal.
Contact [email protected] to exercise your rights. We may need reasonable information to verify your identity. We will respond within the applicable legal time limit and explain any permitted extension or restriction.
You may complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. We would welcome the chance to address your concern first, but you do not have to complain to us before contacting the ICO.
9. Automated decisions, children and changes
We do not use the website’s order system to make solely automated decisions about you that have legal or similarly significant effects. Payment providers may carry out their own fraud, eligibility or credit assessments under their policies.
Our purchasing service is intended for adults. If you provide material featuring someone under 18, make sure the appropriate permissions are in place and tell us about any safeguarding or publication restrictions before sharing it for promotion.
We update this notice when our practices change. The version date will appear at the top, and we will provide additional notice where a material change requires it. A new purpose for using your information must have an appropriate lawful basis and be explained to you.
